Executive Assistant - People & Business Operations (m/f/d)

Full-time · 40 hours · 54472 Brauneberg
Partial remote work possible
€37,000–€45,000 gross/year

You don't want to spend years working on just one small area, but want to understand how an e-commerce company really works?

Then this position could be a great fit for you.

As Executive Assistant – People & Business Operations (m/f/d), you will work directly with one of our Managing Directors in 54472 Brauneberg and gain insight into almost all commercial and organizational areas of our company.

People & HR, company metrics, finance, processes, new marketplaces and countries, internal projects, AI and automation: your scope of duties is deliberately versatile.

We explicitly do not expect you to have already mastered all these topics. It is much more important to us that you can quickly familiarize yourself with new subjects, understand interrelationships, work in a structured manner, and want to take on responsibility.

In short: We are not looking for a fully-fledged specialist. We are looking for someone with potential whom we can rely on.

Who we are

CS-Trading GmbH & Co. KG is an owner-managed e-commerce company based in Brauneberg on the Mosel.

With around 30 employees, we distribute approximately 1,500 different products from our own brands directly to consumers exclusively online. We sell our products through our own online shops as well as numerous online marketplaces in now 26 EU countries.

There is much more behind these sales than just putting products online: logistics, product management, customer service, marketing, IT, finance, taxes, human resources, data, processes, and the continuous development of new sales channels and markets. And that is precisely why we rarely have a dull moment.

Your position

You will work primarily and directly with one of our managing directors, supporting them in taking on operational topics, preparing decisions, and driving projects forward.

Initially, we will work on many topics together. You will research, analyze, and prepare – and we will discuss the next steps together. With increasing experience, this should lead to more and more personal responsibility.

Our goal is that, at some point, we can hand over a topic to you knowing: You will take care of it. You will track the current status, come to us with questions, remind other stakeholders, contribute your own suggestions, and ensure that tasks do not simply disappear in the day-to-day business.

In doing so, you will work closely with our three specialist departments: Marketplace & Product Management, After-Sales & Customer Care Management, and Logistics.

Your areas of responsibility

1. People & Organisation

Together with the management, you will be responsible for, among other things:

  • Recruiting and job interviews
  • Onboarding and offboarding of employees
  • Preparation and support for employee performance reviews
  • Organization of further training and personnel development
  • Employment contracts, contract amendments, references, and other HR-related documents
  • Maintenance and organization of our digital personnel files
  • Working hours, absences, and organizational HR topics
  • Preparation of labor law-related issues
  • Benefits and measures for employee satisfaction
  • Internal events and organizational topics

In this role, you will be the point of contact for our employees, balancing a fair and empathetic approach with the company's interests.

2. Management, Processes & Controlling

Together with the responsible parties and the management, you will ensure that we keep a continuous eye on processes and key figures:

  • Preparing and supporting regular short management meetings
  • Moderating meetings and documenting results
  • Tracking tasks and agreed-upon measures
  • Analyzing existing KPIs and reports
  • Identifying and addressing anomalies
  • Developing improvement opportunities together with those responsible
  • Supporting cross-departmental processes
  • Questioning and further developing existing workflows

You should enjoy working with numbers and data and understanding economic contexts.

3. Finance & Commercial Organization

Preparatory financial accounting and commercial control are also part of your area of responsibility:

  • Checking incoming invoices and receipts
  • Complaining about missing or incorrect invoices
  • Monitoring open transactions and receivables
  • Checking accounts and statements for plausibility
  • Reconciling settlements from our online marketplaces
  • Questioning fees, commissions, and other costs
  • Supporting tax and commercial issues
  • Collaboration with bookkeeping and tax consultancy

You should be able to understand terms like BWA (business analysis), P&L, VAT, OSS, or EU-VAT in the long term – however, we do not expect existing expert knowledge when you start.

What you should bring with you

It is less important to us that you have ten years of professional experience or a certificate for every area of responsibility. What matters more is how you work and how you approach new topics. You are a great fit for us if you have:

  • completed commercial training or a university degree
  • ideally some initial professional experience – it is desirable, but not a must
  • the ability to quickly familiarize yourself with new topics
  • a very organized and reliable way of working
  • initiative: you follow up on tasks and provide feedback proactively
  • an interest in economic contexts, numbers, and data
  • proficient use of PCs and notebooks as well as basic Excel skills
  • openness to AI tools and LLMs as genuine work tools
  • empathy combined with the ability to set clear boundaries
  • absolute discretion when handling confidential information
  • a willingness to constructively disagree and propose your own solutions

Your development with us

We are explicitly looking for someone who wants to develop. At the beginning, you will work on many tasks together with the management and take on increasing responsibility.

How your position develops thereafter depends on you as well. If you would like to work permanently as a strong assistant and commercial all-rounder, that is perfectly fine with us.

If, on the other hand, you would like to take on more responsibility after a few years and your performance supports this, positions such as People & Operations Manager, Business Operations Manager, or, in the long term, Head of Business Operations could develop from this. Leadership responsibility is also possible in the long term.

Naturally, development should also be reflected in your salary with us.

What we offer you

  • €37,000–€45,000 gross/year, depending on qualifications and professional experience
  • Permanent full-time position with 40 hours/week
  • 27 days of vacation
  • Flextime with core working hours from 9:00 a.m. to 3:00 p.m.
  • Remote work after the onboarding phase and depending on tasks and projects
  • Minute-by-minute working time tracking; overtime goes into a time account and can be taken as time off
  • Company laptop and company mobile phone
  • JobRad (company bike scheme) with an additional employer subsidy
  • Hansefit/Epassi for gyms, swimming pools, and other sports facilities
  • €40 subsidy for capital-forming benefits (vL) + subsidy for company pension scheme
  • Access to Corporate Benefits
  • Joint activities and internal events
  • A workplace where your area of responsibility can grow with you

Sounds like you?

Maybe you can't yet explain how an OSS report works or which metrics make for a good online marketplace. That is not a problem.

But if you are someone who enjoys reading up on new topics, wants to understand the bigger picture, stays reliably on task, and eventually comes back with a proposed solution, we would like to meet you.
